Privacy Policy

This policy explains how MySociety Digital (“we”, “us”) handles personal information on mysociety.digital and in the MySociety Digital Android app. The website and the app use the same accounts and the same rules.
Who we are
MySociety Digital provides housing society software for maintenance billing, visitors, notices, elections, documents, and accounts. Our office is at A/43, Kondhwa bk, Pune 411048, Maharashtra, India.
A housing society that uses the product decides what member and flat records to keep. We provide the software and store that information so the society can run its work. Questions about a particular member record can go to the society committee or to us.
Information we collect
- Account details: name, mobile number, email address, and password used to sign in.
- Society and member records: society name and address, flat or shop number, member names, phone numbers, email, designation, and committee role, when the society enters them.
- Maintenance and accounts: bills, payments, receipts, penalties, credit notes, expenses, and files a treasurer uploads, such as a bank statement or a ThirdParty pay register.
- Society operations: visitor entries (including a photo and phone number when security records them), notices, service requests, election details and votes, share-certificate details, rental or tenant records, and helping-hand profiles, including a photo if one is uploaded.
- Messages to us: name, phone, email, and message if you call, email, or write to us.
- Technical data: browser or app type, IP address, and logs needed to run the service, keep accounts signed in, and investigate misuse.
We do not ask for payment card numbers. Maintenance is recorded by the society. We do not sell personal information.
How we use information
- To create and protect your login on the website and the Android app.
- To show members, treasurers, and the committee the records their role is allowed to see.
- To prepare maintenance bills, receipts, reminders, reports, and audit files.
- To match uploaded bank or ThirdParty files to payments and expenses for that society only.
- To send notices, visitor alerts, and other messages the society chooses to send.
- To answer support requests and keep the service secure.
Who can see society records
Access depends on the role the society assigns. A member sees their own flat and maintenance. Treasurers and committee members can see the accounts and member details needed for their work. Phone numbers in the society directory can be masked. We do not publish society records on the public website.
When we share information
We share personal information only in these cases:
- With people in the same society who are allowed to see it for society work.
- With providers who host the application, send email or SMS, or store files for us. Bill and document files may be stored in Google Drive for that society. Those providers use the information only to perform that work.
- When the law, a court, or a government authority requires it.
- If you ask us to share it, or if the society asks us to export its own records.
The public website may show a YouTube video. YouTube is a separate service and has its own privacy policy. We do not use advertising trackers on the society application.
How long we keep it
We keep account and society records while the society uses MySociety Digital. Bills, receipts, and account files may be kept longer when the society needs them for its accounts or when the law requires it. You can ask us or your society committee to correct or delete information that is no longer needed.
Security
Sign-in is required for society records. Passwords are not shown back to users. Access is limited by role. No online service can promise perfect security. Please use a private password and tell us if you think an account has been misused.
Android app
The Android app signs in to the same account as the website. It shows the same society features your role allows. If the app asks for a device permission, such as files or notifications, that permission is used only for the feature you open, for example uploading a document or receiving an alert. You can refuse a permission in Android settings. The related feature may then be unavailable.
Cookies and similar storage
We store a sign-in session in the browser or app so you stay logged in. We do not use cookies to advertise to you. You can clear site data in your browser. That will sign you out.
Children
The service is for housing society members and their committees. It is not directed at children, and we do not knowingly collect information from children for their own accounts.
Your requests
You may ask us to:
- tell you what personal information we hold about you,
- correct information that is wrong, or
- delete information we no longer need to provide the service or to meet a legal duty.
Write to [email protected] or call +91 97303 33231. We may ask you to confirm that the request is yours, and we may need the society’s confirmation when the record belongs to the society’s accounts.
Changes
If we change this policy, we will post the new version on this page and update the date above. Continued use of the website or the Android app after that date means the updated policy applies.
